- These special rates are exclusively available by booking through the Hotel Reservation Form on the CMS website. The deadline for hotel reservations is January 10, 2025, but we strongly encourage you to secure your booking as early as possible, as availability within the room block is limited.
- You are not required to stay in the conference hotels. However, transportation to and from the universities, excursions, catered events, and other activities will depart from and return to the hotels listed below.
- If you would like to room with someone during the conference, please fill out the Roommate Finder Form. Participants are responsible for coordinating logistics with roommates. A full listing of individuals looking for roommates can be found on the 2025 International Conference Roommate Finder List.
- The rates below include tax and service charges, as well as breakfast at the hotel.

Hotel FAQ
Q: If I purchase a room at the conference hotel through an online wholesaler, such as Hotwire or Hotels.com, will CMS be credited for the sale?
A: No. Only rooms booked by using the conference reservations link will count toward the fulfillment of the contracted block. Please book your rooms through the provided means of reservation only.
Q: I will arrive early in the morning on June 15. Will I be able to store my luggage until the hotel allows me to check in?
A: Yes! If you will be checking in as a guest of the Grand Hyatt Bogotá, the hotel will store your luggage for you until your room is ready. If you have made alternative lodging arrangements, you should check the policy of your arranged hotel.
Q: If I choose to stay somewhere other than one of the conference hotels, will CMS be able to organize transportation between my choice of lodging and the conference hotel, or will CMS reimburse me for such transportation?
A: CMS can only confirm these logistics for attendees staying at the conference hotel(s).
Q: I am staying somewhere other than the conference hotel. Is it possible for the bus transferring attendees between locations to pick me up at my choice of lodging?
A: CMS can only confirm these logistics for attendees staying at the conference hotel(s).
Q: I do not have a travel companion. Is it possible to share the cost of a room with another participant?
A: Yes! We encourage you to use the CMS Roommate Finder tool to list yourself or to locate others who have added themselves to this roster.
Timeline for Registration, Payment of Conference Fees & Conference Schedule
All deadlines are 11am Pacific Time / 12 noon Mountain Time / 1 pm Colombia Time / 2 pm Eastern Time:
To secure their place on the program, all conference presenters, composers, and performers must pay a $425.* non-refundable deposit. The remaining balance must be paid in full for the registration to be considered complete. Please see the schedule above.
Conference Presenters, Composers, & Performers:
Friday, November 1, 2024: $425 deposit due
Friday, February 7, 2025: Final Balance due ($125 late fee assessed after this date)
Traveling Companions & Non-Presenting Attendees:

Traveling companions and non-presenting attendees are not required to pay a deposit and should pay the registration fee in a single payment.

Conference Program
- The conference registration fee is inclusive of all meals, excursions, and transportation listed below, unless noted otherwise. Please note that lodging expenses are not included in the conference registration fee.
- Hotels: CMS has reserved a special rate with the following hotels for 2025 CMS International Conference attendees:
- Grand Hyatt Bogotá (Bogotá, Colombia)
- Estelar Milla De Oro (Medellín, Colombia)
In order to access these rates, you will need to reserve your accommodations through the CMS Website. You can book your stay and learn more about the 2025 CMS International Conference hotels on this page.
- Javeriana University: While in Bogotá, conference presentations and performances will take place at Pontificia Universidad Javeriana. CMS will provide scheduled bus transportation between the Grand Hyatt Bogotá hotel and Javeriana University.
- EAFIT University: While in Medellín, conference presentations and performances will take place at Universidad EAFIT. CMS will provide scheduled bus transportation between the Estelar Milla de Oro hotel and EAFIT University.
- Colombia57: Throughout the conference, Colombia57, our partner destination management company based in Colombia, will assist with all excursions, transportation, and catered events.
- Flights: Participants are responsible for making their own flight arrangements to and from Colombia. However, the flight from Bogotá to Medellín is included in the registration for all participants. Colombia57 will help coordinate this flight, and more details will be provided in the near future.
- There will not be a flight returning to Bogotá at the end of the conference. The conference will conclude in Medellín after June 23rd, and participants are responsible for all transportation after that point.
It is possible that this itinerary could change slightly over the coming months, but all participants will be notified of any significant alterations to the program outlined below. All questions regarding the conference should be directed to [email protected].

- A Colombia57 team member will be onsite at the airport to assist CMS members as needed.
- CMS cannot provide transportation from the airport to the hotel. Colombia57 can assist with any requests for ride services from El Dorado International Airport to the Grand Hyatt Bogotá. Please contact [email protected] if you are interested in exploring this option.
